How to Write a Cover Letter

A good cover letter explains why you want this job and why you are a strong fit, in a few short paragraphs. Here is a simple structure you can follow.

Your resume shows what you have done. Your cover letter explains why it matters for this job and this employer. It is also the place to address anything your resume cannot, such as a career change, a relocation or a gap.

You can write yours in the free cover letter builder, which shows a live preview and downloads a PDF. Like the resume builder, it saves your letter on your device.

Cover letter structure

  1. Header

Your name and contact details, the date, and the employer's name and company if you know them.

  2. Greeting

Address the hiring manager by name if possible. Otherwise, "Dear Hiring Manager" is fine.

  3. Opening paragraph

Name the role you are applying for and give a one-sentence reason you are a strong fit.

  4. Body paragraphs

One or two paragraphs connecting your most relevant experience to the job's key requirements, with a specific example.

  5. Why this employer

A short, genuine reason you want to work for them.

  6. Closing

Thank the reader, state your interest in an interview and sign off.

A short cover letter example

Example cover letter
Dear Ms. Patel,

I am applying for the Operations Coordinator position at Harbor Logistics. With five years of experience in retail operations, including scheduling a team of 20 and managing weekly inventory for a high-volume store, I am confident I can help your team keep operations running smoothly.

In my current role as Assistant Store Manager at Green Valley Market, I redesigned our receiving process, reducing stock discrepancies by 30% in six months. I also coordinated a three-month store renovation with four contractors while keeping the store open, finishing a week ahead of schedule. These projects taught me how to plan carefully, communicate clearly and solve problems quickly, all skills your posting highlights.

I am drawn to Harbor Logistics because of your focus on reliable, same-day regional delivery and your investment in training. I recently completed a project management certificate course and would be excited to bring that knowledge to your operations team.

Thank you for considering my application. I would welcome the chance to discuss how I can contribute to your team.

Sincerely,
Jordan Lee

Cover letter tips

  • Keep it to three or four short paragraphs, under one page
  • Tailor it to each job. Mention the role and company by name
  • Use one or two specific examples, not a summary of your whole resume
  • Match the tone to the employer: professional, but natural
  • Use the same header style and fonts as your resume for a consistent look
  • Proofread, especially names and company details

Mistakes to avoid

  • Repeating your resume. Add context and motivation instead.
  • Focusing on what you want. Explain what you offer the employer.
  • Using the wrong company name. Check every detail when you reuse a letter.
  • Apologizing. Do not draw attention to what you lack. Focus on what you bring.
  • Making claims you cannot support. Keep everything accurate.

Frequently asked questions

Do I always need a cover letter?

Send one when the employer asks for it or when there is a place to upload one. It is also valuable when you are changing careers, relocating or applying to a small company where a personal note stands out.

How long should a cover letter be?

Between 250 and 400 words is typical. Short and specific is better than long and general.

What if I do not know the hiring manager's name?

Try the job posting, company website or LinkedIn. If you still cannot find it, "Dear Hiring Manager" is acceptable.

Should my cover letter match my resume design?

It is a nice touch. Using the same name header, font and colors makes your application look consistent.
